Terms and Conditions for Micro-grant schemes

The following terms and conditions apply to community councils and other groups who receive a grant award from Foundation Scotland to run a micro-grant scheme.

1. Status of Group

  • Should your group be dissolved, disestablished or suspended, your group must notify Foundation Scotland, and the remaining balance of the grant should be returned to Foundation Scotland with a final report provided on the use of funds.
  • Your group will notify Foundation Scotland as and when its constitution is amended, providing a signed copy of the most up-to-date version.  

2. Contact details

  • Your group will notify Foundation Scotland as and when its contact details change, providing the Foundation with updated details.

3. Reporting & timescales

  • You will return a completed Micro-Grants Completion Report (template to be provided by Foundation Scotland) within twelve months of the date that your group receives the grant unless extended by agreement with Foundation Scotland.  Micro-grants funding in each subsequent year will normally be released to your group following the receipt of a satisfactory Completion Report and assuming sufficient funds are available.  Generally speaking, Foundation Scotland will only release the subsequent year’s award where the majority of the previous year’s award has been spent.  Any underspend may be carried forward by your group at the end of the most recent grant period.  

4. Accounting for your grant

  • The grant, expenditure of the grant, and any remaining balance will be clearly identified in your group’s accounts under the heading “[Name of Fund] Fund micro-grants”.  
  • A copy of your group’s approved accounts will be provided to Foundation Scotland each year when they become available.  

5. Promotion & publicity

  • Your group will ensure that the Micro-grant Fund and any related application criteria are widely promoted in the community (both online and offline) and that applications will be accepted from all eligible parties for consideration.  
  • The support of Foundation Scotland and the Fund Donor will be acknowledged in all publicity regarding the Micro Grant Fund.
  • Your group will comply with all reasonable requests for participation of Foundation Scotland or the Fund Donor in publicity, including publications and web, provision of photographs etc., in connection with the grant.

6. Your group applying for a micro-grant

  • Your group may apply for a micro-grant itself.  The application should be considered at your group’s management committee or equivalent meeting and the decision on the application minuted.  Any local rules that your group has agreed about micro grants (e.g.  restricting the number of applications from the same applicant in any 12-month period) should also apply to your group.
